Administrative Secretary, College of Liberal Arts, Tahlequah JOB SUMMARY This position provides administrative and clerical support for the university's human resources functions. MAJOR DUTIES Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel. Review and process personnel action forms including status changes, transfers, promotions and demotions, which are critical for payroll purposes. Compile data and prepare reports and directed. Types letters, memoranda, email. Sets up and maintains personnel files and records. Processes departmental travel arrangements and reimbursement requests. Maintains office supplies; reorders as needed. Maintains office equipment. Sorts and distributes mail. Makes appointments and manages calendars. Process purchase orders; process purchase card statements. Maintains a variety of documents and forms. Performs related duties as assigned. KNOWLEDGE REQUIRED BY THE POSITION Knowledge of modern office practices. Knowledge of university human resources policies and procedures. Skill in meeting designated deadlines for work product. Skill in operation of computers and job related software programs. Skill in decision making and problem solving. Skill in interpersonal relations and in dealing with the public. Skill in oral and written communications. COMPLEXITY/SCOPE OF WORK The work consists of related secretarial duties. Frequent interruptions contribute to the complexity of the position. The purpose of this position is to provide administrative and clerical support for department operations. Success in this position contributes to the efficiency and effectiveness of those operations. MINIMUM QUALIFICATIONS Must be capable of maintaining regular attendance. Knowledge and level of competency commonly associated with the completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
